The PriDoc Intranet will provide the following facilities:

•   Document Management

Files for Practice protocols (clinical and administrative), Practice library, etc. are maintained centrally, ensuring accessibility and uniformity. All the files are indexed for easy retrieval, and a ‘responsible person’ and review date can be assigned. Following the revision of a document, information about any amendments can also be recorded, so that users can easily identify what has changed.

•   Meetings Management

As Practices become more diverse in their activities, the need for more and more meetings requires careful scheduling, comprehensive documentation and effective follow-up. PriDoc makes light work of this process.

Recurring agenda items and ‘usual’ attendees (staff, partners, locums etc.) and venue can all be defined for each type of meeting held by the Practice (e.g. Staff, Partners, Business, Treatment Room, Management, Patient Participation Group etc.), and then for any actual meeting date these can be edited as required. The Agenda is then automatically generated, as well as Meeting Schedules that can – if required – be filtered to include only those meetings (of all types) that a selected person is due to attend. Following the meeting, agenda item notes can be recorded on the system, with the option to specify ‘actions’: these may be for a specified person, with a specified deadline. A ‘completed date’ for an action, and also a ‘response’ (information that is relevant to the agenda item but which was not available at the meeting) can also be entered. From this information the Minutes are generated automatically, as well as Action lists (which may include ‘actions’ from more than one type of meeting) for each relevant person.

•   Bulletin Board

This is where summary information from other PriDoc components is displayed (e.g. announcement of new employees, forthcoming meetings, employee birthdays (optional!), etc., and the PriDoc Administrator can also add Notices to provide any information to other users.
